This policy explains how Venta Acoustics Ltd collects and uses your personal information when you visit our website, contact us or work with us, and the rights you have over it.
1. Who we are
Venta Acoustics Ltd (“we”, “us”) is the controller of the personal information described in this policy. We are a company registered in England and Wales (company number 10139494).
Address: Unit 3, Gander Down Barns, Rodfield Lane, Ovington, Alresford, SO24 0HS Email: mail@ventaacoustics.com Phone: 01962 461016 or 020 3865 0332
2. Information we collect
When you contact us through our enquiry form, by email or by phone, we collect your name, email address, phone number, the site address of your project and any details you choose to give us about it.
When we work with you, we also hold information needed to deliver the work and get paid: contact details for you and your colleagues, project correspondence, site access arrangements, and billing details.
During our projects, we may receive limited personal information about other people, such as the names and contact details of neighbours or site contacts, or work patterns and noise exposure results for employees during noise at work surveys. We use this only for the project concerned.
When you visit our website, we and our providers collect technical information such as your IP address, browser type and the pages you visit. See section 9 for cookies.
We do not knowingly collect special category data (such as health information). Noise at work reports record noise exposure, not medical information; if hearing health information is ever shared with us, we handle it only as needed for the work and with extra care.
3. How we use your information and our lawful basis

We do not sell your information, and we do not use it for automated decision-making or profiling. We will only send you marketing emails if you have asked us to or you are an existing client, and you can opt out at any time.
4. Who we share it with
We share personal information only where needed, with:
- Service providers who support our business, such as our email provider Google Workspace, website host Ionos, and accounting software Xero. They act on our instructions and must keep your information secure.
- Local Authorities and other project stakeholders, where our reports include contact or site details needed for a planning or regulatory process

5. Transfers outside the UK
Where this happens, we make sure appropriate safeguards are in place, such as a UK adequacy decision or the ICO’s International Data Transfer Agreement or Addendum.
6. How long we keep it
- Enquiries that don’t go ahead: up to 2 years
- Client and project records: 6 years after the project ends, or longer where needed for professional liability purposes
- Financial records: 6 years from the end of the financial year, as required by law
- Complaints: up to 6 years after the complaint is closed
After this, we securely delete or anonymise the information.
7. How we protect it
We use appropriate technical and organisational measures to protect your information, including access controls, secure passwords and encrypted connections to our website. Only people who need your information to do their job can access it.
8. Your rights
You have the right to:
- Access the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Erase your information, in some circumstances
